Heart of Centerville & Washington Township Board of Elections Application

Thank you for your interest in growing the Heart of Centerville Board! Whether a self nomination or a nomination of a colleague, we appreciate your support. Below are some general guidelines and commitments for each board position.


Board meetings - Board positions in general meet up to 9 months a year, the first Monday of the month from 4:30pm to 6:30 pm. This is tentative and subject to all of our schedules. Board meetings involve strategic planning of the organization; as well as detailed breakdown and decision making for the organization. Each board member gets one vote on all business.

Member meetings - Monthly member meetings are held the 2nd Monday of each month from 5:30 p.m to 6:30 p.m, with varying locations at member businesses. Member meetings are more general in nature. While it is recommended to attend, it is not required. We only ask that you are present when you need to report or update the membership on your specific items.


Heart of Centerville and Washington Township Events - Each year the board members plan and coordinate events for the year. Our events include the following:

1.)  Merchant Market

    a.  One day event tentatively on 5/18/2025

2.)  Party in Park

    a. June Event tentatively on 6/13/2025

    b. July Event tentatively on 7/11/2025

    c.  August Event tentatively on 8/8/2025

3.)  Fall Fest October One day event on 10/4/2025

4.)  Ghost Walk One day event Mid October (date to be determined)

5.)  Holiday Walk November (date to be determined)

6.)  Holiday Party December (normally second Monday of December)

7.)  Education Evening Event ( April and September)

8.)  Americana Festival (July 2025)


We ask that board members contribute to the planning of the events and are present on the day of events to ensure their success.

We ask that you volunteer and assist on event day up to 50% of Events and special programs throughout the year.

We do ask Board members to chair or participate in at least one event or committee.

Positions for 2024 Elections - All Elections of the Board of Directors are held on or before November monthly membership meeting. Positions shall be determined by the majority vote of the members. The Board positions shall be announced at the Membership meeting each November and take office the following January. Each Director shall hold office for 2 years or longer if they wish but must be reelected every 2 years. The following are the current positions for election for 2024:


1.)   President (Vice President Becomes President with Board Approval)

2.)   Vice President

3.)   Director of Marketing

4.)   Director of Membership

5.)   Director of Safety and Logistics


PRESIDENT: –(Vice President Becomes President with Board Approval; position not on the ballot)

●       Ensures the organization’s activities are compliant and in furtherance of its mission

●      Develops, implements, monitors, and assesses sound and compliant financial management practices (including budgeting)

●      Develops, implements, monitors, and assesses sound and compliant fundraising practices

●      Develops, informs, and supports the Board to carry out their governance functions

●      Develops and maintains beneficial relationships with donors, funders, supporters, collaborators, allies, vendors, and other stakeholders

●      Ensures effective external communications about the organization and its mission, priorities, importance, programs, and activities

●      Leads the organization’s planning processes

●      Ensures legal compliance (including all required filings) and sound risk management practices


VICE PRESIDENT:

●      Working with the Board, the Vice President plans, develops and enforces policies and objectives for the organization to ensure it maintains its values and meets established goals

●      Assists the President in carrying out their duties and presides over meetings when the President cannot be in attendance

●       Makes recommendations to the Board for any open Board positions and organizes and facilitates the Board Member election process annually at the November Member meeting

●      Ideally assumes the role of President at the end of their term


DIRECTOR OF MARKETING AND SOCIAL MEDIA: 

●      Supports overall comprehensive marketing strategy

●      Partners with committee members to oversee a consistent and active communication strategy to all stakeholders for the purposes of program messaging, fundraising, awareness and branding

●      Contributes expertise to assist in establishing organizational marketing, branding and communication plans and initiatives

●      Builds on current brand and develop creative market outreach programs that will drive new partners and friends

●      Advises members on strategies and development for various marketing communications channels and web presences including, electronic/social media (e.g. Facebook, Twitter, LinkedIn, etc), newsletter, public relations, website and printed collateral

●      Maintains and builds relationships with key industry partners and members of the press in conjunction with staff efforts


DIRECTOR OF MEMBERSHIP:

●      Promotes the benefits of HOCWT membership

●      Identifies issues important to members

●      Works to enhance the value of HOCWT membership

●      Delivers the value and mission of the HOCWT through various methods in order to increase retention rates in membership

●      Offers unbiased recommendations and work for the good of the organization and membership

●      Reaches out to prospective members and current inactive members by different communication means

●      Oversees the ordering a badges for the Board Members and the Coordinators

DIRECTOR OF SAFETY AND LOGISTICS: 

●      Partners with the City of Centerville and/or Washington Township to ensure proper safety protocols are followed and met

●      Develops the event layout with the Director of Events and necessary Coordinators to ensure all spacing requirements are taken into consideration

●      Works with the Beverage Service Coordinator to ensure proper alcohol permits are obtained from the State of Ohio

●      Partners with the City of Centerville and/or Washington Township to establish the boundaries for alcohol consumption at events

●      Maintains a basic first aid kit available at events or partners with the City of Centerville to provide these services

●      Oversees, creates, and maintains Alcohol Sales Training records and signatures of acknowledgement sheet

Board positions are a non-paid volunteer position. Board member’s and coordinator’s annual membership fee is waived as a thank you for your service.
